Participation Terms and Consent – Colours Beyond Words

Reverse Rett Greece organises the international art initiative “Colours Beyond Words”, with the aim of highlighting the creativity, expression and different ways of communication of children and individuals living with Rett syndrome.

Participation in the initiative and the public presentation of any artwork require the prior acceptance of these Participation Terms and the Consent Statement by the participant’s parent or legal representative.

Please read all of the following terms carefully before proceeding with the submission.

1. Participation details and artwork submission

Participation in the initiative is submitted electronically by the participant’s parent or legal representative through the dedicated submission form.

During the submission process, only the information necessary for the organisation and administration of the participation is collected, together with the digital file of the artwork.

The artwork is submitted exclusively in digital form. The original artwork is not sent to Reverse Rett Greece and remains with the creator and their family, under their ownership and control.

Reverse Rett Greece retains the digital file solely for the purposes of the initiative and in accordance with these terms.

Acceptance of these Participation Terms and the Consent Statement is a mandatory requirement for the completion of the submission and the public presentation of the artwork.

2. Ownership of the original artwork and licence to use

Submission of the artwork in digital form does not transfer ownership of the original artwork to Reverse Rett Greece.

The original artwork remains the property of its creator and of the person legally entitled to exercise the relevant rights.

By accepting these terms, the parent or legal representative grants Reverse Rett Greece a non-exclusive and royalty-free licence to use the digital file of the artwork solely for the purposes of the “Colours Beyond Words” initiative, as described in these terms, as well as for related communication, awareness and activities of Reverse Rett Greece.

This licence does not constitute a transfer of ownership and the use of the artwork remains subject to the more specific terms set out below.

3. Public presentation, reproduction and promotion of the artwork

By accepting these terms, the parent or legal representative grants Reverse Rett Greece the right to use the submitted digital file of the artwork for the purposes of the initiative and, in particular, to:

  • publicly present the artwork at exhibitions, events, workshops, conferences, presentations and other related activities;
  • create digital or physical copies of the artwork for the purposes of the exhibition and the promotion of the initiative;
  • photograph or digitise the exhibition copies;
  • publish images of the artwork on the official website and social media channels of Reverse Rett Greece;
  • use images of the artwork in printed or digital informational, communication and promotional material relating to the initiative;
  • present the artwork in future activities of Reverse Rett Greece in Greece or abroad, provided that such activities are connected with the purposes of the initiative and with raising awareness of Rett syndrome.

The above licence is non-exclusive and granted without financial compensation. It does not restrict the right of the creator or their family to retain, use or present the original artwork.

4. Production, retention and future use of exhibition copies

Reverse Rett Greece may use the digital file of the artwork to produce a physical exhibition copy, in a size, material and format considered appropriate for the needs of each presentation.

Exhibition copies produced at the expense of Reverse Rett Greece constitute material of the initiative and remain in the possession of Reverse Rett Greece after the exhibition has ended.

Reverse Rett Greece may retain and reuse these exhibition copies in future exhibitions, presentations and non-commercial awareness activities in Greece or abroad.

The aim is to gradually create a permanent, travelling collection entitled “Colours Beyond Words”, highlighting the creativity, expression and communication of people living with Rett syndrome.

The retention and future use of the exhibition copies does not constitute a transfer of ownership of the original artwork and does not restrict the creator’s rights in relation to the original artwork.

5. Further or commercial use of the artwork

Acceptance of these terms does not grant Reverse Rett Greece a general or unlimited licence for the commercial exploitation of the artwork.

Any use of the artwork beyond the purposes of the exhibition, the travelling collection, awareness-raising, promotion and related non-commercial activities of Reverse Rett Greece — including, for example, the inclusion of the artwork in books, calendars, products, souvenirs or other material made available in exchange for payment or as part of fundraising activities — is not considered to be automatically covered by this consent.

In such cases, Reverse Rett Greece will inform the parent or legal representative in advance and, where required, additional and specific consent will be requested for that particular use.

6. Donations, sponsorships and financial support for the initiative

In the context of the exhibition, the travelling collection or other related activities, there may be voluntary donations, sponsorships, financial support or other forms of income in favour of Reverse Rett Greece.

Any such income is managed by Reverse Rett Greece and is used to support its statutory purposes, in accordance with applicable legislation and the relevant administrative or accounting procedures.

Participation in the initiative and the provision of the relevant licence to use the artwork take place without financial compensation.

The participant, parent or legal representative has no right to receive payment, percentage, royalty, compensation or any other financial claim arising from donations, sponsorships, financial support or other income that may result from or be connected with the initiative.

Participation in the initiative does not create any partnership, commercial relationship or other financial entitlement between the participant or their representative and Reverse Rett Greece.

7. Public display of participant information

During the participation process, the parent or legal representative may optionally choose which information they wish to be displayed publicly alongside the artwork.

This information may include:

  • the participant’s first name,
  • age,
  • country,
  • title of the artwork,
  • a short accompanying message.

Choosing whether or not to display any of the above information does not affect participation in the exhibition.

Reverse Rett Greece will publish only the information for which explicit consent has been provided through the participation form.

8. Personal data and privacy

Reverse Rett Greece processes the personal data submitted through the participation form only to the extent necessary for the organisation, administration, documentation and communication of the initiative.

The contact details of the parent or legal representative will not be made public and will be used only for communication relating to the specific submission.

Any participant information that may be displayed publicly is limited exclusively to the information that has been expressly selected through the relevant optional consent.

Reverse Rett Greece applies reasonable organisational measures to protect personal data and to limit access to those persons who need to handle such data for the purposes of the initiative.

For further information regarding the processing of personal data, participants may refer to the Privacy Policy of Reverse Rett Greece.

9. Withdrawal of optional consents and requests

The parent or legal representative may contact Reverse Rett Greece in writing at any time to request the withdrawal of an optional consent, including, in particular, consent relating to the public display of participant information or other optional consent provided.

Withdrawal applies to future uses and does not affect the lawfulness of processing or use that has already taken place before the withdrawal.

Where technically and practically possible and where the relevant material is under the direct control of Reverse Rett Greece, the organisation will take reasonable steps to remove or discontinue the relevant use following such a request.
